Contact the help deskWhat happens if a driver sends a blurry photo?
The OCR still runs, but low-confidence fields are flagged rather than accepted. The document lands in the review queue with the uncertain values highlighted, and the bot replies in the group asking the driver to retake the photo. Nothing enters your invoices unverified.
Do faded thermal slips work?
Yes. Weighbridge and fuel receipts printed on thermal paper are a specific training target — current average accuracy on faded prints is 99.1%. Photographing in daylight rather than under a truck cab lamp makes the largest difference.
Can a driver send several documents at once?
Yes. Multiple photographs sent together are grouped into one job when they share a container number, so an EIR, a delivery order, and a weight ticket arrive as a single record.
What if WhatsApp goes down?
Messages queue on the sender's phone and arrive when service returns; nothing is lost. For outages during a busy shift, dispatchers can upload the same photographs directly in the portal, and the documents follow the identical OCR and matching pipeline.
Does a driver need a smartphone with data?
A phone with a camera and WhatsApp is enough. Photographs queue offline and send when the driver next has signal, which is common on the way out of a terminal.
How long does processing take?
Extraction and job matching typically complete within a few seconds of the message arriving. The confirmation tick in the group is the driver's signal that the document was read.
Who can see our documents?
Only users in your tenant. Data is isolated per tenant with role-based access control, encrypted in transit and at rest. Our staff access customer content only for support, on a need-to-know basis, and every access is logged.
Do you train models on our documents?
Not unless you explicitly agree. We use aggregated, de-identified statistics to improve accuracy; your document images and client data are not used for model training without written consent.
Can we export everything and leave?
Yes. Documents, extracted data, invoices, and payout records export at any time, and for 30 days after cancellation. Retention detail is in the Privacy Policy.
Is the WhatsApp channel itself secure?
Messages travel through Meta's infrastructure under their terms before reaching us. Tell your drivers and staff that documents sent to the operations group are processed by logixflo, and keep the group membership limited to people who should see that paperwork.
